Privacy policy

What Backline collects, why, who else sees it, and what you can ask us to do with it. Backline does not sell personal information and does not track you for advertising.
Who this covers
This policy covers Backline, operated by To decide: legal entity name ("we"). It applies to people who use Backline to run a shop, and to the buyers whose orders those shops import.
For your buyers' information, your shop decides what is collected and why, and Backline processes it on your shop's behalf. A buyer with a question about their data should ask the shop they bought from; we will help the shop answer.
What we collect
- Your account: your name, email address and sign-in details, handled by our sign-in provider.
- Your shop: its name, the people in it and their roles, and its settings.
- Your records: items, photos, inspections, purchases, sales, expenses and tasks — whatever you enter or import.
- Marketplace connections: the access you grant or the keys you paste in. These are stored encrypted, and never shown back in full.
- Your buyers' details, when they arrive with an order you import: name, email, phone number and shipping address. Used to record the sale and, on Shopify, to prepare a shipping order when you ask for one.
- Reviews your shop received on Reverb, if you connect Judge.me to publish them.
- Billing: your plan and subscription status. Card details go straight to Stripe and never reach Backline.
- Technical information: error logs, with credentials removed before they are written; the IP address and browser for security-relevant actions such as deleting records or changing connections; and page-view counts that use no cookies.
How we use it
- To provide Backline: keeping your listings in step, importing your orders, and showing your numbers.
- To act on the marketplaces you connect, as you instruct.
- To bill you, and to email you about your account — for example that a trial is ending.
- To keep Backline secure and to investigate problems.
- To understand, in aggregate, how Backline is used, so it can be improved.
We do not sell personal information, use it for advertising, or share it with anyone for their own marketing.
Who else sees it
The marketplaces you connect receive what Backline sends them on your behalf — your listings and their photos, and changes to them.
These service providers process data for us, only to run Backline:
- Clerk — sign-in and accounts
- Stripe — payments and subscriptions
- Vercel — hosting, photo storage and cookie-free analytics
- Neon — the database
- Inngest — running scheduled and background work
- Upstash — rate limiting
- Fixie — a fixed network address for requests to Sweetwater
- Resend — account emails
We may also disclose information when the law requires it, or to a buyer of the business if Backline is sold, under the same promises as this policy.
Cookies
Backline uses the cookies needed to keep you signed in. It uses no advertising cookies, and its analytics count page views without cookies, so there is nothing to opt out of.
How long we keep it
Your shop's records are kept while your account is open. Sync history is kept for 90 days, records of incoming marketplace notifications for 30 days, and the security log for two years.
When you ask us to close your account we delete your shop's records within To decide: deletion window, e.g. 30 days, except where the law requires us to keep something longer.
Security
Marketplace credentials are encrypted, and each shop's records are kept apart from every other shop's at the database itself, not only in the application. Everything travels over encrypted connections. No system is perfectly secure; if something goes wrong that affects your data, we will tell you.
Your choices
You can see and change most of your information in Backline directly. You can also ask us for a copy of your shop's records, to correct something, or to delete your account, by emailing support@backlinesync.com. Depending on where you live you may have further rights; we will honour them.
Where it is stored
Backline is run from the United States, and your information is stored there: the database is in Ohio, and the application and photos are hosted on Vercel's US infrastructure.
Children
Backline is a tool for businesses and is not meant for anyone under 18.
Changes and contact
If we change this policy in a way that matters, we will tell you before it takes effect. Questions: support@backlinesync.com.
